Best 1-1 meeting tools for engineering managers

Most comparisons of 1-1 tools list features nobody uses. This one groups the options by the problem they solve, because a shared agenda tool and a private prep tool are not competing for the same job. We build one of these, so read the LeaderCues part with that in mind.

Short version: pick an agenda tool when the meeting itself is disorganised, a note app when you have two reports, a prep tool when you keep walking in without context, and an HR suite only when HR is the one buying.

The five options, honestly

Private AI prep for the manager

Good at: You write a short note after each 1-1 and get a prep before the next one: open follow-ups, what changed, what to ask this person. Nothing is shared with the report or HR.

Wrong choice when: Not a shared agenda. If your team expects a collaborative doc per meeting, you would use this next to one, not instead of it.

Shared agenda tools (Fellow, Hypercontext-style)

Usually per seat, per month

Collaborative meeting agendas

Good at: Both people add talking points before the meeting and check off action items after. Good when the whole team already runs on written agendas.

Wrong choice when: The report sees everything, so your private read on a situation lives somewhere else anyway. Adoption dies quickly if one side stops filling the doc.

Notion, Obsidian, Apple Notes

Free to cheap

General note apps

Good at: Free-form, private, no cost, and you already have one open. Fine for a small team and a manager with discipline.

Wrong choice when: Nothing surfaces on its own. Follow-ups only exist if you reread old pages, which is exactly the habit that breaks in a busy week.

HR suites (Lattice, 15Five, Culture Amp-style)

Enterprise pricing, per seat

Performance and engagement platforms

Good at: Reviews, goals, engagement surveys and org-wide reporting. The right tool if HR is the buyer and the company needs the process.

Wrong choice when: Built for the org, not for your Tuesday. Reports fill out forms, HR sees the data, and 1-1 prep is a small feature inside a big system.

AI meeting recorders (Otter, Fathom, Granola-style)

Free tier, then per seat

Transcription and summaries

Good at: You get a transcript and summary without typing anything. Useful when your 1-1s are all on video calls.

Wrong choice when: Recording a 1-1 changes what people say. And a pile of transcripts is not the same as knowing what is still open with this person after four months.

Common questions

What is the best 1-1 tool for engineering managers?
It depends on what breaks for you. If your problem is a shared agenda nobody fills in, a collaborative agenda tool helps. If your problem is that you forget what was said three weeks ago and walk in cold, you need private notes plus something that surfaces open follow-ups before the meeting, which is what LeaderCues does. If HR needs reviews and engagement data, that is a different purchase entirely.
Do I need a 1-1 tool if I already use Notion?
Not necessarily. Notion is fine while you have a handful of reports and the discipline to reread old pages. It stops working when the number of people and open threads grows past what you can hold in your head, because nothing in a note app reminds you what is still unresolved.
Should my reports see my 1-1 notes?
Some of it, yes: agreed actions and commitments are better shared. Your read on a situation, your worries, and half-formed patterns are not. That is why many managers end up with a shared agenda plus a private space, rather than trying to make one document do both.
Is an AI 1-1 tool safe for private notes?
Ask three questions: who else in your company can read the notes, whether the notes train a model, and what happens on deletion. LeaderCues keeps notes scoped to your own account, does not share them with reports or HR, and erases everything when you delete your account.
Are there free 1-1 tools?
Yes. Note apps are free, several agenda tools have free tiers, and LeaderCues has a free plan that includes AI-built preps with a monthly credit allowance. HR suites generally do not have a free tier.
